After some research, I landed on three key factors that helped me decide what to use for my business:

Usability is essential for me because it affects how quickly and easily clients are able to get through the onboarding process, which is crucial for female coaches like me. I also look at the price, as money is always a factor when starting any business, and I want to make sure that all of my tools are within a reasonable budget. And finally, does it simplify my process and the steps needed to accomplish my tasks and projects?

At the end of the day, I want to make sure that all of my tools work together to create a seamless experience for my clients and me. That’s why I rely on these three key factors when deciding which tools to use for my business. I know that by choosing the right ones, I can ensure that my coaching business runs smoothly and efficiently so that I can continue to serve female coaches and share these stories.

The tools I use for my business are designed to provide the best service to my clients while also allowing me to streamline my workflow. From CRM and project management software to social media scheduling tools, I’ve found a selection of tech that helps me manage everything smoothly. 

Overall, having the right tools in place has made it easier for me to focus on the important things—like providing exceptional service and support to my clients. It’s also saved me a lot of time, which is invaluable when running any business. I highly recommend researching different options and selecting those that will help your business succeed.

The following coaching tools will help you manage and thrive in your coaching business. They can help you set goals, schedule appointments, create contracts and documents, and even help develop an online course to expand the reach of your coaching business.

Full Focus Planner

The Full Focus planner by Michael Hyatt is all about helping higher achievers to live their best lives. This is my second year using a Full-Focus planner, and this planner has helped me to stay focused and organized on my day-to-day tasks and makes sure that every task on my agenda is working towards accomplishing my goals for the year. The Full Focus System is all about working smarter, not harder.

AcuityScheduling

Maintaining a well-managed and efficient work schedule can save time and stress when planning for your business or organization. Scheduling software systems like Calendly and Acuity can enable you to keep track of events and meetings in real-time. They can make it easier for clients to understand your availability. In early 2022, I switched from Calendly to Acuity. It was easy to integrate my sales and marketing platform and handle the complexities of setting appointments and scheduling events as my business began to grow. While both offer comparable core features, Acuity offers more complex options for scheduling and appointment booking.

Canva

This graphic design software has an abundance of beautiful templates you can use to create and elevate your online presence, as well as create presentation materials that will capture your audience's attention. Canva is really easy to use with drag-and-drop tools and different templates. It’s free, but you can opt-in for a paid plan and get access to more features. 

Honeybook

Both Honeybook and Dubsado features include invoicing, contracts, questionnaires, and so much more to help you streamline your projects and save time. Not to mention, they can help you look more professional to your clients. Honeybook and Dubsado are both what we call CMS – or Client Management Systems. The purpose of a client management system is…well…to manage your clients and projects, but just like many CMSs, they can do a lot more. The setup is the biggest challenge, as there is a learning curve. I personally like Honeybook better for the easy setup, and the templates look a bit more aesthetically pleasing. Once you set up all the forms and workflows, you are golden because everything will work automatically for you.

Plann

Every coach wants to make social media easier for them, so they can spend more time coaching and less time on social media. Scheduling your social media content in advance can help you do just that. It allows for scheduling on Instagram, Facebook, Pinterest, TikTok, and LinkedIn. What's really cool about Plann is a nifty strategy section that every coach should learn in order to create a workflow and be more intentional in making their marketing effective. Using a scheduling app that reminds you to stay focused on your marketing strategy makes your coaching business less about becoming an influencer on social media and more about building authority that leads to paying clients.

Asana

Every business owner needs some sort of project management system. Luckily, there are a ton of options, depending on your preferences. I'm a huge fan of an all-in-one workspace when it comes to managing my projects and day-to-day tasks. While I am still a huge fan of using notion to store all my knowledge-based information, Asana has become my new fave in managing tasks. Plus, if you have a VA or a team, you can easily share projects and assign tasks, as well as check the progress with your team. (Bonus: if you have your projects in a spreadsheet, you can easily format it and upload it to Asana!)

Kajabi

Online courses and evergreen e-courses provide a passive revenue stream through which you’ll make money every time someone enrolls...all while you focus on other parts of your business. This frees up a lot of your 1:1 coaching hours to allow you to focus on making more impact and offer a great way for others to work with you at different levels/price points in your coaching business. You’ll gain exposure and establish yourself as an expert in your field. If students like your e-course, they might decide to keep working with you because they trust your expertise and believe in your ability to help them achieve their goals. These students turn into clients and become part of your active revenue stream! Kajabi offers an all-in-one program that allows you to create, promote, and deliver your online course and email marketing, as well as create your own private community that gets nicely tucked away from the noise of social media (which might detract your students from consuming your content).

Typeform

Form building using Typeform is extremely easy, and in fact, it is so much fun to use. It's as easy as setting up a flowchart.  Typeform offers a powerful reporting feature. It offers a real-time report based on the responses received. There are a few key stats that are available by default, and you don’t have to take the pain of running through the data and performing an analysis manually. Google Forms offers most of the features (required to meet the business needs) free of cost, but there are a few areas that have proved to be a big letdown. The major letdown comes in the form of aesthetics. Another problem I encountered with Google Forms is its inability to perform multiple logic jumps and the unavailability of default reports. This is a major setback when you are looking to create engagement and feedback from your audience through surveys. While I continue to use Google Forms for simple spreadsheet tracking purposes, my go-to choice when it comes to feedback and quizzes for lead magnets is definitely Typeform.

Streamyard

StreamYard is a web-based streaming and video conferencing program to stream interviews, podcasts, events, and meetings to social media platforms. In comparison, Zoom is a video conferencing app for team members to have video and voice meetings. Both platforms allow you to share your screen as well. If you want a program to host, join, and record meetings, go with Zoom. It is the best option right now, and more importantly, the learning curve is small as it's been around for quite some time and remains the most commonly used software. However, if you need a tool to live stream and record meetings and events while enjoying the additional live stream features, I suggest StreamYard. At the time of writing this article, Streamyard had also up level their game plan to provide Live Webinar function that can host as many as 250 attendees on the professional plan for $49 per month.

Stripe and Paypal

Both Stripe and PayPal are payment gateways, acting as the go-between for merchants and the appropriate credit card networks/financial institutions to authorize and accept payments. If your business engages in a high volume of sales–either in person or online–and you want the ability to accept many forms of payment, then Stripe is the better option. PayPal may be a better choice if you already use the platform to send invoices and receive payments for your small business. When you sign up for PayPal, your default rate will be the Standard Credit/Debit Card Payments rate of 2.99% + $0.49 per transaction. Stripe fees are very transparent. For online credit cards and wallet payments, your default rate will be 2.9% +$0.30 per transaction.
