3 Game-Changing Tools to simplify organization and boost productivity in your coaching business

 
 

If you're anything like me, you're probably spinning a lot of plates.

Content creation, admin tasks, personal growth, client interactions - it's a whirlwind, right? And the million-dollar question is, how do we make room for more clients?

Well, I've got some good news for you. I'm going to share three simple tools that have been absolute game-changers for me. They've helped me stay on top of things, plan like a pro, and seriously boost my productivity.

The Magic of Notes

First up, let's talk about the Notes app on your phone. It's a little gem that's perfect for capturing those lightbulb moments before they vanish.

Whether it's a shopping list, a to-do list, or a reminder to follow up with a client, if it doesn't need a specific date and time, it goes straight into Notes.

It's my go-to place for all those brilliant ideas that pop up when you least expect them. Think of it as your personal brainstorming hub or a place for a good old brain dump.



Notion: Your Secret Weapon for Project Management

Once you've got all those ideas down, you need a way to make sense of them. Enter Notion. Notion is a project management tool that's as flexible as a yoga master. It's the perfect place to organize your thoughts, keep track of tasks, and plan your content.

Notion is my secret weapon for content creation. I use it to plan my content for the entire week. I take a step back, think about the big picture, consider the hot topics for the week or month, and plan accordingly.

It's also my storage vault for content ideas and a tracker for what my team and I are working on.

The beauty of Notion is that it doesn't box you in.

The Old-School Approach: Pen and Paper

Even with all the digital tools at our fingertips, I still love the feel of pen on paper.

There's something powerful about writing things down. It helps us remember things and process information.

I use a paper planner to make sense of the ideas I've jotted down in my Notes app. I look at my notes and figure out where they belong - is it personal? Does it need to go on my calendar? Is it part of a long-term project? Once I've sorted my ideas, I transfer them to my paper planner or my Notion project management tool.

One of my favorite paper planners is the Hobonichi Cousin.

It's got everything - a perpetual calendar, monthly calendars, weekly calendars, and daily calendars. It's perfect for time blocking, which is a total game-changer for productivity. With time blocking, I can see my day at a glance and plan accordingly.

Your personal planning style

These three systems - the Notes app, Notion, and a paper planner - might seem like a lot. But trust me, once you sit down and plan out your week, capture your ideas, and sort them into the right places, it all starts to click.

The key is to understand your personal planning style. Are you a big-picture kind of person, or do you prefer to break things down into daily chunks? Once you've figured that out, you can choose the tools that suit you best.

Whether you're a digital whizz or a pen-and-paper fan, there's a system out there that can help you supercharge your productivity. The trick is to find a system that feels like a comfy pair of slippers and stick with it.
